Club Lead

This opportunity is only available as part of setting up a club. Club Leads are a vital part in forming a club - the club would not exist without them. Every club must have two Club Leads.

Applying to be a Club Lead 

Before applying to become a Club Lead, please familiarise yourself with the How to Set Up a Club webpage and the Club Guidelines.   

To be eligible to become a Club Lead, you need to be a member of the Students Association to apply for this opportunity.  

*Members of the Students Association are defined in Section 11 of the Students Association Articles of Association 

DBS may be required, if we deem it necessary, however this depends more on the club and if it relates to protected characteristics.

 

In this application, you will need to detail information about your club. If you are eligible to become a Club Lead, your club application will then be passed to our approval panel for new clubs. You will need to detail the following:

  • The name of the other club lead 

  • The club name and the purpose (make sure this is distinct from existing clubs and societies)

  • A link to the platform where you meet (Facebook, Discord etc.)

  • Confirmation that you have a minimum of five students as members 

Your training as a Club Lead 

You will be required to complete the online self-study core training for all Association volunteers and online self-study for your role as a Club Lead. 

You will be offered the opportunity to complete Event and Meet-Up Host training which will allow you to host online and face-to-face meet-ups with your club.

You will be offered the opportunity to sign up for the Volunteer SLACK app to chat online with other Club Leads and Association volunteers, in our volunteer community. 

Commitment  

On completion of your training and once the new club is approved, Club Leads must also: 

  • Ensure membership is open to all OU students 

  • Act in accordance with our volunteer policy and volunteer agreement which includes our  Values and Behaviours Policy 

  • Have two active Club Leads at all times, if a club lead drops out the club has 3 months to find a replacement or it will be de-listed 

  • Keep in regular contact with the Students Association, sharing events, news and club activity 

  • Follow the Club Guidelines 

  • Ensure club platforms are also open to Students Association staff and Student Representatives 

As a Club Lead, you will actively engage with club members, create and host club events and keep in regular communication with the Students Association. The hours you do are completely up to you, but regular communication with members is essential as is speedy response to new members and enquiries.

You will receive an acknowledgement of your application and further email communications from the Association detailing whether your application has been successful or not.  This email will contain links to your training and onboarding.  On completion of your training and onboarding by both Club Leads, the Club is listed on the oustudents.com website or you join the other Club Lead in running an existing club.

Benefits to others

Students who join your club can feel a lot less isolated, which will increase their student satisfaction. Students can make friends, benefit from informal student-to-student support and have fun!
